The Foxuma Case Study
One system runs this shop.
How Foxuma runs the daily work of a custom cabinetry and millwork shop in Concord, Ontario — projects, orders, invoices, hours and files, all in one place.
The shop
A custom cabinetry and millwork shop in Concord, Ontario. Kitchens, closets and commercial work, built by a small team of office staff, shop floor and sales — the kind of business where a dozen jobs are moving at once and everybody needs to know where each one stands.
This is the shop Foxuma was built inside of. Not a demo company, not a test case — a working shop that runs on it every day.
Before Foxuma, after Foxuma
Before
- Orders tracked on a spreadsheet, updated by whoever got to it first
- Job updates passed around in group chats and on paper
- Invoices made one at a time, in a separate program
- Working hours kept on paper punch cards and re-typed by hand
- Supplier invoices in folders — prices and purchase history buried in paperwork
- Answers lived in one person's head; if they were away, work waited
After
- One system holds projects, orders, invoices, hours and files
- Everyone sees the same job status, from their own account
- An invoice is created from the order itself — same details, no re-typing
- Punch-card photos are stored with the hours they belong to
- Supplier invoices become the inventory record — items, prices, purchase history
- Fox, the built-in assistant, answers staff questions from the shop's own records
A day with Foxuma
-
Morning
Orders check.
The day starts with the order list: what is due, what is in production, what is waiting on material.
-
On the floor
Shop floor updates.
Jobs move through the shop and their status moves with them — the office sees progress without walking over to ask.
-
During the day
Invoicing.
Finished work is invoiced from the order itself. The customer, the items and the amounts are already there.
-
End of day
Payroll hours.
Punch cards are photographed and filed with the day's hours, so pay periods are checked against the cards — not against memory.
What runs in Foxuma
Projects
Every job in one list, with its status, files and history attached to the job — not scattered across inboxes.
Orders
Customer orders tracked from intake to delivery, visible to office, shop and sales at the same time.
Invoicing
Invoices created straight from orders, with the same line items and totals. No second system, no re-typing.
Payroll hours
Hours tracked per person and per pay period, with the punch-card photo stored beside the record it proves.
Inventory
Built from supplier invoices: what was bought, from whom, and at what price — searchable instead of filed away.
Fox assistant
Staff ask Fox a question in plain words and get an answer drawn from the shop's own records — orders, inventory, job status.
Roles & permissions
Separate accounts for office, shop and sales. Each role sees what it needs — and only what it needs.
Why it matters to another shop owner
Nothing lives in one person's head
Job status, prices and history sit in the system, where the whole team can reach them — not in a single spreadsheet or a single memory.
Your data stays in Canada
Foxuma runs on the shop's own server in Canada. Customer records and business data do not leave the building to do their job.
Built inside a working shop
This was not designed in a lab. It was shaped by the daily work of a real cabinet shop, and the whole team uses it every day.
